Position Title: Part-Time Administrative Assistant

Reports to: Special Projects Manager

Overall Responsibilities

  • Provide front desk support.
  • Provide administrative support to the Executive Team as assigned.
  • Enter/verify data on members, volunteers, current and prospective customers in database.
  • Assist in the coordination of Board Director, staff and other organization events.

Specific Responsibilities

  • Exhibit a professional demeanor when answering the phones; screen incoming calls and respond independently when possible, then route calls appropriately.
  • Maintain general office appearance and manage mailroom and kitchen supplies.
  • Maintain office equipment and respond to questions/service calls/etc. regarding the phone system, postage meter and copiers.
  • Manage front desk traffic and security (guest, delivers, etc.), as well as front desk signage.
  • Handle, sort, prioritize and distribute incoming mail daily; provide support for outgoing shipments as needed.
  • Respond, route and control all requests, correspondence and other privileged information.
  • Verify pertinent information for accurate database entry and maintenance.
  • Provide calendar support, to include sending out queries for meeting consensus, send out electronic meeting invitations, and rescheduling meetings as assigned.
  • Assist the Special Projects Manager in editing and distributing meeting materials as assigned.
  • Prepare for meetings as needed, to include reserving conference room space, ordering lunches, etc.
  • Act as contact for building management; submit work tickets as needed; route correspondence and respond to building management inquiries for office closures, etc.
  • Anticipate, analyze and proactively react to changes in priorities and tasks for the organization.
  • Perform additional duties as assigned.

Education and Experience Requirements

  • High school graduate or higher preferred.
  • 1 – 2 years experience as Receptionist or Administrative Assistant preferred.
  • Computer skills required for data processing and reporting.  MS Office: Excel, PowerPoint, Word proficiency.
