Overview of the Role

The part-time Application Specialist, Employee Assistance Funds (EAF), would be responsible for reviewing applicant materials and other administrative functions, such as tracking/assigning incoming applications communicating with clients and applicants for America’s Charities Emergency Assistance Fund (EAF) clients. An Emergency Assistance Fund, also called an Employee Relief Fund or Employee Crisis Fund, is a program that helps employees cope with unexpected financial hardships that place undue stress on an employee or his or her family. Hardships can be caused by a range of circumstances including disasters and other qualifying events causing financial need and distress due to their impact on the ability to meet basic needs (such as food and shelter), e.g., unexpected medical illness or injury, military deployment, victim of a crime.  

Many employers establish these funds to assist their employees with the financial challenges these types of events present. Helping employees allows employees to recover more quickly, demonstrates a company’s care for employees and commitment to their well-being, and provides co-workers an opportunity to help their colleagues. 

The Application Specialist, EAF will be responsible for reviewing EAF application materials and supporting documentation, including but not limited to, photos of damage, personal financial statements, certification of medical condition/medical bills and repair estimates, to ensure they are complete, and all required documentation has been provided. The Application Specialist, EAF must also ensure that all materials are in compliance with client and America’s Charities EAF policy language. If any applications are incomplete, the Application Specialist, EAF, will work with the applicant to cure deficiencies in a timely manner. Once materials are complete, the Application Specialist, EAF will make a recommendation of eligibility and award, if eligible, to the America’s Charities Emergency Assistance Fund Committee, who will then make a final determination. This is a part-time, temporary, position. 

Training & Activation 

The training for this position is expected to be a total of 5-10 hours. After training, and if a major disaster event were to occur or another significant need arises, the Application Specialist, EAF, would be activated to a part-time position for a minimum of 15 hours a week until the influx of applications ends. 

Responsibilities

  • Review EAF applications, respond to applicant inquiries, conduct follow up as necessary, evaluate and make preliminary recommendations for approval/award to America’s Charities’ EAF Committee for final review and approval. 
  • Review and analyze applications and supporting documentation to ensure compliance with both client and America’s Charities’ EAF policy requirements. 
  • Track and assign incoming applications for review and ensure reviews are completed in a timely manner. 
  • Respond to general application and policy questions. 
  • Assist Account Managers with preparing communications to clients. 
  • Assist with preparation of case files for final committee review. 
  • Help build positive relations within the team and external parties. 
  • Other duties or projects, as assigned. 

Qualifications

  • Associate degree required. 
  • 1-3 years of experience in customer service, client service roles, or non-profit experience. 
  • Superior interpersonal, verbal, and written communications skills, including the ability to communicate effectively and interact with clients and their employees.  
  • Strong organizational skills and ability to coordinate and prioritize assignments. 
  • Solution-focused, and detail oriented, with the ability to work in a fast-paced, deadline driven environment. 
  • Team player with the ability to build effective working relationships throughout all levels of the organization. 
  • Strong computer skills, with proficiency in using various technologies, including Microsoft Office 365 applications and customer relationship management (CRM) systems; adept at learning new technologies. 
  • Fluent in Spanish (not required).
