Position: Office Assistant

Works In Conjunction With: Vice Pres., Client Engagement Team; Director, Charitable Funds Management Solution

FULL-TIME, Monday - Friday, 8:30 AM -5:30 PM

Overall Responsibilities

This highly responsible role provides administrative support across several cross-functioning departments. The ideal candidate is very customer service conscientious, extremely detail-oriented, capable of handling multiple tasks, is an excellent time manager and able to communicate effectively with our stakeholders.

Specific Responsibilities

  • Will thoroughly review Employee Assistance Funds submissions from applicants for our clients, thereby helping to ensure application accuracy and completion prior to board review
  • Communicate in a timely manner conveying board decisions to applicants
  • Assist with the managing of pledge and donor information, including associated payment processing of funds
  • Respond appropriately to customer inquiries via Help Desk inquiries
  • Perform pledge and donor data entry, as needed
  • Manage charity invoicing and timeline tracking of payments
  • Provide overall office management
  • Offer day-to-day general office procedure support
  • Provide front desk receptionist support

Education and Experience Requirements

  • Bachelor’s Degree is preferred. In lieu of, a minimum of 2 years of college plus 2 years related work experience within a relevant administrative role capacity
  • Demonstrable working knowledge of MS Outlook, Excel, Word, Access
  • Experience working in a fast-paced and deadline-oriented environment
  • Excellent oral and written communications skills
  • Strong computer skills and the ability to learn new programs and processes quickly

Candidates considered will be asked to take and pass a Skills Test (generate a sample client email response, perform basic MS Excel functions and display of writing skills)

Salary:

$35K annual; 37.50 hrs./week
